We held an online conference on internal documentation management

The CAF Centre of the Slovak Office of Standards, Metrology and Testing organised an online conference on internal documentation management on 20 June 2025, intended for public administration organisations.
The motto of the conference was:
The ‘why?’ of tomorrow has its answer in the documentation today.

Internal documentation is not just about “papers”; it is not bureaucratic surplus that we must comply with. It is primarily a tool that allows an organisation to function effectively, predictably, and transparently. Well-managed internal documentation is a pillar of:
- the quality of provided services,
- risk management and error reduction,
- organisational development and transfer of experience,
- support for innovation and continuous improvement.
We must also dedicate appropriate attention to the creation of internal documentation in organisations. We often face the dilemma between “as simple as possible” and “as detailed as possible.” In general, documentation should be:
- purposeful – capturing necessary information, no more, no less,
- clear – so that all employees can use it effectively,
- up-to-date – so that it is regularly reviewed and reflects reality,
- accessible – so that it is available to those who need it when they need it,
- understandable – so that it is not an illegible labyrinth of bureaucracy.
In public administration practice, a simple rule applies: Well-managed documentation saves time, prevents errors, facilitates control and audit, and simultaneously protects the employees themselves.
The goal of the online conference organised by the CAF Centre was to present the method of internal documentation management in four different organisations, to exchange good practice, and to inspire each other.
The online conference was attended by 250 representatives of public administration organisations from all over Slovakia. Participants included employees of central state administration bodies, state institutions and offices, local governments, social service facilities, secondary and higher education institutions, and others. Participants were given the opportunity to ask questions to the speakers continuously during the individual lectures via chat, as well as after the presentation of the contribution. The most resonant questions focused on informing employees about internal documentation, its updating, and practical questions regarding specific solutions within the internal documentation management process.
